View Full Version : Labor Day Biltmore Bash is a go.

OK, Here we go...

First, Go to the Biltmore House website (http://www.biltmore.com) for your offical planner (http://www3.ntarget.com/clients/biltmore/new_nt.htm).
The planner is free and gives details on everything Biltmore offers there
including, lodging, packages, attractions and more!!!

I got mine yesterday and I could not lay it down! It's that good, really.

Rough outline of events...

DATES: Fri. Sep. 1st thru Sun. Sep 3rd.

Friday Night: at Pisgah Inn (25 miles south of Asheville), meet and greet and Dinner.

Saturday: free time at Bilmore house, Bean Run, Mod time at
the local Chevy dealership, maybe he will have a BBQ or potluck dinner
for us there also. Later, Asheville Cruising time.

Sunday: Rise and shine, prep for Photo shoot at the Biltmore House
and Car show Judging, More free time for the Biltmore House, Lunch
at the Biltmore Bistro, then the Raffle, Door Prizes and awards.

As actual events become locked in, I will post more detailed info.

COSTS: Lodging is on your own, see the planning guide
mentioned above.

FOOD: If we get a sponsorship, Sat Dinner may be provided,
otherwise, all food is on your own.

Raffle tickets: $5.00 each. I am trying to get some huge HHR items for this.

There will be a charge for an event packet,
which will cover gate costs for the photo shoot, one raffle ticket,
an event placard for your mirror, and a full detailed information
kit with event explanations, guidelines and any neccesary rules, etc.

Going to have to do some real work and make a grand appearance that weekend. Any idea on the cost for the event packet? Will you be in charge of accepting payment for the packets and also purchase of addition raffle tickets?

Airborne: Event Packet will be around 25 or 30 bucks, per car. ;)

Wife and I are planning to be there...probably drive over on Saturday (....early...)

a couple of questions:

Does "gate pass" include admission to the Estate??

Where were you planning on Sunday's events taking place?

No sorry, The "gate pass" mentioned is only for access for the photo shoot.

When you get your planning guide (http://www3.ntarget.com/clients/biltmore/new_nt.htm), you will find lodging info about package
deals with House access passes, that are good for the length of your stay.

For instance the Quality Inn South has a 2 night package with house access.
It is very good deal, but you should book early.

As we said, Labor Day is a very busy time for the area!

Sunday afternoon events will most likely take place in the Biltmore's Parking lot.
That way folks can back into the house, or whatever, as they wish.

Complete details will be in the event packet, of course.

As of today, the "Event Packet" is not ready yet. ;)

We still have a few details to work out and lock down. :confused:

When ready, I may have it available online or it can be mailed, etc...

This entire project is still forming and we are really just getting started,
so PLEASE have patience while we get it ALL together. :bow:

Holmes, I have not stayed there, but some others recomend it.

I suggest that you get the Biltmore planner and get your lodging from there.

Sandy and I are most likely going to stay at the Quality Inn south.
Again, they have a package that is very reasonable with Biltmore
passes included.

I have no recommendations on lodging as I was there quite a few years ago.
The Biltmore, OTOH, is well worth everyone's trip.

We haven't stayed there but did eat there a couple of years ago. I did request to look at one of the rooms which they let me do. The room I looked at was very clean and had a great view of the mountains. BTW, the restaurant was very good and affordable.

Dan, I made mine tonight at the east. The only differenc is the rate jumps on Saturday and Sunday. Complete free breakfast saves about $15 a day for four days. If you use a credit card you have up till the day of check in to cancel.

Dan D, I had to get mine from Choice Hotel International 1 877 424 6423. It was $56 for the first night $111 for Friday and Saturday and $77 for Sunday. I miss quoted based on daily rates and not holidays. Considering a full breakfast that saves about $50.00. Sorry for the miss information. It is cheaper at the south by $32 but only a continental breakfast. I am still checking other rates and have time to cancel and re-book some where else. So far it is still the best deal unless you can get tickets for a good price at Biltmore included like Danl said.

I was just saying that the Baymont might be another option of a place to stay. It recieved good reviews on hte TripAdvisor site.

** UPDATE... **

Gathering info on a local website sponsor...

Should be able to see samples of window decals for a club
website on Wednesday...

Should have a Asheville Chevy dealership sponsor by tomorrow
afternoon...

Found a lady to make a 3 ft. by 5 ft. car club banner for us...

Found another lady to do the embroidary work for shirts and hats, etc...

Found a guy that will be able to make a way cool art graphic
for us...

Putting together the event packets items such as Badges,
mirror hangers, flyers, etc...

Planning a mini pre visit to Asheville for lining up details, etc...

I will pass on more as it comes up...

Thanks for all the hard work. It's not that my interest level is that low as much as it is I work 2 jobs, go to school, and try to spend as much time as I can helping out my parents who live in West Tn. I'm actually quite a car buff but have limited time.

I have no idea if I will make the Asheville Labor day or not. At the moment I can't get past this weekend....

We now have a local website sponsor, building it today, should be up by Monday...

Now that we have a domain name, we will move forward with the car decals...

Black Mountain Chevy dealership in Asheville is our main sponsor, and
he is providing a catered BBQ dinner for event particpants, and will bring

Event ID Badge & Lanyard. Must be worn at all venues of the
event. In order to have your badge custom made for this event, you must
pre-register.

Event Rules and Instructions. Event rules, explanations, and
instructions, for example, the "BeanRun" driving instructions.

Event Flyer. Has all event times and locations. This item is often a keepsake of the event, and a good place to collect other attendees autographs.

Liability Release form. Required for all events.

Mirror Placard. Required for Biltmore Photo Shoot.

Raffle ticket. Required for Grand Prize Drawing, non winners will remain in drawing for other door prizes. Your chances of winning are increased by purchasing multiple tickets. (@ $5.00 each)

Thhhr,

I think you have missed the point. The money is used to obtain
the prizes, cover costs such as, promotion fees, entry fees,
trophies, etc.

I have never put one of these together before. But, with the help
received from other more experienced folks on this forum and by
checking out other events, we have come up with a really big
event at a reasonable cost.

As I recall, I did ask for help all along and nobody stepped up.

If you think the price is unreasonable, offer up a different plan.

If you want a complete cost breakdown, send me a PM, an e-mail,
or leave me a messsage via the contact page, and I will respond
with numbers.

If you want something different, or if you have a better plan,
I'm OPEN!

In all fairness to Dan, to take this on is a monumental task and I am glad that he has taken it on. I for one would not know where to begin. Therefore I have put my trust in him and the other promoters for this event. I think it is going to be as blast and well worth the $50 bucks for myself and wife. I am already pre-registerd and looking forward to the event.

The "joke" was that the $50.00 was for a bunch of PAPERWORK

...no mention of the run, the Biltmore photo, BBQ, etc.

I just am a little to close to making sure this event is all that

I have no extra funds to really get things rolling yet,
Part of me says, I am asking for too much money, but the other
part says, it is what is, and it is going to cost what it costs.

So, I was getting gun shy about the what might be percieved as a
over priced event and nobody wanted to pay that much.

So, sorry if I overreacted, and took things the wrong way! :bow:

yeah, I got your email, haven't had chance to reply. I will Tuesday early AM.
Well, the wife wants to go there. That means we are, lol. As of today, the paln for us is leave Winston-Salem Thursday morning and head for Gatlinburg, Tn. Spend the night there, then do the "TAIL" on Friday before heading back toward Asheville to meet up with you guys. We are staying at Quailty Inn South. oh yeah, and sent you the pre-reregister fee.

The tail of the Dragon is a fun drive but if you haven't driven it before be ready for some very winding, hilly, twisty roads. There are usually quite a few sport bikes trying to go as fast as they can and wanting slower traffic to get the heck out of the way.

Anyway, back to your question, I got it at K-Mart, cost was $5.99.
It has a way cool wired remote, so it won't get lost by a somebody
like me trying to drive it... LOL

I booked at the Courtyard, but only because I can get the govt rate because I work for a govt contractor and have a group #. It's somewhat pricey, but very very very nice. If you go to the Biltmore site, biltmore.com they have packages worked with local hotels where you can get passes thrown into the rates of the rooms. Basically looking like about anywhere from 200-400 or so for two nights because of the holiday weekend at just about anywhere decent. Can possibly find something cheaper like a Super8 or something. That makes a total of four, still need at least six more (Minimum of 10)

Meguiar's has stepped up and sent me some grab bag goodies
and a couple of door prize items.

There is also another company wanting to be a sponsor, and we
are trying to get this one onboard. They make custom HHR
conversions and they will be bring two custom HHR's to the Bash.

Hey Dan, this is something we would really like to do but we had a major financial hit on pool repairs this yeay so $$$ is real tight. For those of us on a fixed income we really have to do some fancy footwork. Don't count us out just yet, we're still trying to make this happen so if we're able to make it this event it will be pretty close to the wire. I have a friend in the Hotel industry and he's looking to see if he can pull some strings for us. -Dan

BTW, there is no way to make money on these things.

In fact our out of pocket will be way more than the fifty bucks...

galladanb, I know where you are coming from, our entries were slow until the last couple of weeks, as Holmes said have faith and know that initial runs are normally smaller, but it gives you the foundation to build on. I would have loved to make the drive, but buying this house has put me closer to home for the next couple of months. Our run benefitted from the guys being out there beating the bushes, hanging flyers on HHRs in parking lots, going to other cruises and talking up the run. I took a gamble on the funds and shopped lightly for trophies this time, only 12 for the whole show, so if I was going to lose money it would be something that I could absorb and I will definitely break even and maybe even have a few bucks left over to donate to the church, so it will all be good. I have said all along that I am having fun if only a couple of guys show up, but I am feeling like we might see 15 or 20 entries with a bit of luck and I know that I am going to enjoy everyone who does show because they have already proven themselves to be great people. Good luck...you're going to make it...
